Reconcile Payroll Exposure in Contractor Insurance Submissions

Extract contractor liability application and payroll schedule data, reconcile exposure totals, and flag mismatched periods or duplicate classes.

An insurance application, contractor supplement, and exposure schedule may all describe the same business differently. A clean extraction of each form is only the starting point: the intake team still needs to know whether the documents agree.

Extract the applicant entity, exposure period, and payroll amounts from the general liability application and supporting schedule. Compare the application total with the class-level payroll sum, keeping actual and projected periods distinct. The resulting exception list shows underwriters which figures need clarification from the broker.

1. Set up your account and documents

Sign up for Reducto Studio and get an API key. Set REDUCTO_API_KEY locally, keep it out of source control, and install reductoai==0.24.0 with Python 3.10 or later.

Scope: One contractor entity, exposure period, and reviewed currency; one application and one payroll exposure schedule.

Prepare the input records named application, schedule. Use identifiers from the documents or reviewed supporting records; never invent missing join keys.

This reference uses synthetic examples. Validate the input roles, extraction results, and citations on your own representative documents before adapting it for production.

2. Extract source values with citations

Parse the document, then pass its job reference into Extract with citations enabled and chunking disabled. The excerpt uses the schema and decoding helpers in the full example below.

The Parse job reference reuses the parsed document. Citations connect source values to their locations; missing values stay null.

3. Compare the extracted fields

The strongest comparison is often a simple one with a carefully defined scope. Verify legal entity and period before adding class-level exposures. Do not assume that a broker’s trade name and the applicant’s legal name are interchangeable; use a reviewed entity mapping if needed.

This workflow does not price coverage or approve the risk. It makes the conflicting values visible to the underwriter. Add separate schemas for loss runs and certificates so their different dates and definitions remain intact.

Missing required fields, citation problems, detected role ambiguity, or failed checks return review. checks_clear means only these checks passed, not that the underlying case is approved.

4. Run the example and review the findings

Save the full script as contractor-liability-submission.py and run python contractor-liability-submission.py --demo --output demo-results. The synthetic demo checks a consistent case, a discrepancy, and missing data without an API key.

For your documents, use the manifest and run command below. Each run writes review.json with source values, findings, and citations. Check flagged fields against the source before using the output.

Edge cases

  • Payroll, revenue, and subcontractor cost are different exposure bases. Never substitute one for another.
  • Route a missing supplement according to the submission checklist; it should not become an empty successful extraction.
  • Review inconsistent policy periods and valuation dates before adding claims-history comparisons.

Use a new output directory for each run. review.json contains the source values, checks, citation map, file hashes, and job references. Findings identify a field or parent record through evidence_paths; use the matching citations and source pages to resolve the issue. The script also saves raw Parse, Extract, and any requested Classify responses.

Configure the workflow for your documents

The string paths above use the baseline settings. A manifest value can also hold a file path plus supported options for that document. Optional --classify checks declared roles before extraction; the Classify criteria should distinguish the actual document types in the packet.

Check document roles before extraction

Enable Classify on a role when uploads may be mislabeled. The runner includes an other category, saves the result, and stops extraction for a mismatched or ambiguous role. Optional confidence values describe the fraction of classification criteria matched, not a probability that the document is correct. The default context is the first five pages. Use an explicit classify_page_range of at most ten pages if identifying content appears later; use reviewed Split boundaries first for a mixed packet.

Replace the application entry in manifest.json with this structured entry when the condition above applies. Replace any example page range, sheet name, or prompt with the reviewed selection for your document.
