The Opportunity
As Workplace & Experience Coordinator, you will be the person who makes Reducto's San Francisco office feel like the best part of someone's day. You'll work closely with the Office of the CEO and People team, but the office itself is yours: how it looks, how it runs, and how it feels to walk into.
This is a hands-on, in-person role. You're the first face people see when they walk in, the person who notices the snack drawer is running low before anyone else does, and the reason an investor visit or team offsite comes together without a hitch. We're a fast-growing AI company, which means priorities shift quickly and the office needs to keep up. You'll thrive here if you love creating order out of chaos and take real pride in making people feel taken care of.
This is an in-person role based in out San Francisco HQ.
What You’ll Do:
Own the day-to-day feel and function of the SF office, from daily walkthroughs to restocking supplies to making sure the space is clean, safe, and welcoming every single day.
Manage relationships with vendors and building partners, including food & beverage, cleaning, maintenance, and security, holding them to the standard our team deserves.
Plan and execute in-office events and culture moments, team lunches, celebrations, offsites, and the spontaneous stuff that makes people want to come in.
Coordinate catering and food programs, including ordering, setup, takedown, and invoice review.
Act as the on-the-ground host for guests, candidates, and visitors, including investors and customers, making sure every visit reflects well on Reducto.
Support space planning, furniture moves, and office improvement projects as the team grows.
Help manage the workplace budget: track expenses, review invoices, and flag cost-saving opportunities in partnership with Finance.
Support health, safety, and emergency preparedness for the office, including drills and readiness materials.
Partner across People, IT, Security, and the Office of the CEO to keep employees informed of workplace updates and to support company-wide events and initiatives.
Gather feedback from the team and use it to keep improving the office experience.
You’ll Thrive Here If You:
Are the type of person who loves creating order out of chaos.
Have genuine hospitality instincts. You notice what needs fixing before you're asked, and you take pride in the details other people miss.
Have 2+ years of experience in an administrative or hospitality setting, ideally somewhere fast-paced.
Are warm, outgoing, and easy to be around. If an investor or candidate is waiting in the lobby, you're the person who makes them feel instantly welcome.
Are highly organized and can juggle competing priorities without dropping anything.
Communicate clearly and professionally with everyone from vendors to executives to new hires.
Are comfortable working independently and making judgment calls in a startup environment where the plan can change by lunchtime.
See this work as a craft. You want to build something people notice and appreciate, not just check boxes.
Bonus points if you:
Have experience planning events or managing office operations at a high-growth startup.
Are fluent in Google Workspace, Notion, Slack, and expense platforms like Ramp.
Have experience supporting executives or high-visibility guests.
Hold a CPR/AED certification.
